RSCTC 2010 Registration

The registration to RSCTC 2010 is performed with use of on-line registration interface. The on-line registration is the preferred way to register. The on-line registration will be possible until the beginning of conference, i.e., June 28, 2010. Those participants who must register off-line are kindly asked to contact the Conference Office at rsctc2010@rsctc2010.org. The owner of this page and the institution responsible for organisation and  financial management of RSCTC 2010 registration is Polish Mathematical Society (PTM), as described below.

This page describes the registration process as well as outlines some technical, legal, and financial details about RSCTC 2010 registration. Please, use it as a reference during your registration. 

The registration process

The process of registration to RSCTC 2010 consists of three phases. All data collected during the registration process is stored and used only for the purposes of the conference, as detailed in RSCTC 2010 Privacy Policy.

  • Phase 1 - participant registration.

    In this phase the participant fills in and submits the personal data that is used to establish the registration account. After submission an e-mail is sent to the registrant in order to verify the validity of registration account.

  • Phase 2 - conference registration.

    In this phase the participant, after logging into registration system, fills in a two-page form. First, the registration choices have to be provided as well as the choice of language for billing purposes. Participant may chose between regular and student registration, choose pay for extra papers and/or pages as well as purchase additional banquet ticket. The choice of billing language (English or Polish) is an important one for persons who are financed by Polish institutions. Once registration choices are submitted the participant is taken to second page, where billing information has to be entered. The billing information has to be entered properly and thoroughly, as it will be later used without any alternation in all financial documents, especially the official invoice. The final choice one has to make in this phase is the one about preferred mode of payment. The payment may be done on-line with use of credit/debit card or off line by means of bank transfer. Please consult the payment information presented later on this page to make the choice.

  • Phase 3 - completion of payment(s).

    After completing conference registration steps you will be able to proceed  to payment. If you have chosen the on-line payment option you will be presented with link to the on-line transaction system provided by Dotpay S.A. (www.dotpay.pl). After successful completion of an on-line payment  you will be notified by e-mail about this fact and the next time you log in to registration system, you will be presented with your registration and payment summary together with link to official invoice in PDF format.
    In case of off-line payments by bank transfer, after logging in you will be able to see a page presenting summary of your registration and payments as well a link to official invoice in PDF format. In order to make transfer please use account information presented on the invoice or consult the payment and refund information presented later on this page.

Types of registration

The prospective participants can register using Regular or Student type. For information on conference fees please consult the next section - "Registration fees".

The single registration and payment of conference fees entitles participant to:

  • Participation in all technical sessions of the conference on 28th, 29th, and 30 of June 2010.
  • One copy of all conference materials including proceedings, conference bag, additional materials, etc.
  • Participation in all social events of the conference (reception, banquet).
  • Inclusion of one accepted paper in conference proceedings - if applicable. Additional papers will be charged extra as well as extra pages.

Participants registered as students may be asked to present and official proof of their student status.

The registration fees are differentiated by type (Regular/Student) and time (Early/Late).

All fees above are quoted in Polish Złoty (PLN).  The exchange rate of Polish currency to Euro remains relatively stable around 4.0 - 4.2 PLN for 1 EUR. The exchange ratios for other currencies, in particular US Dollar (USD), may be more volatile due to general trends on World's financial markets. For current exchange ratios one may consult, e.g., XE.com. Please, be aware that the exchange ratio applied by your bank may be significantly different from the official one.

Modes of payment

During registration the participant will be given a choice of payment modes. These include:

  • On-line payment with use of credit/debit card or e-transfer. This is a recommended type of payment, especially for participants who are not financed by Polish institutions. This mode of payment ensures privacy, security and speed of transaction. The accepted card types include: Visa, Master Card, American Express, JCB, and others. All sensitive, financial data is transferred over secured, encrypted channels. The payments are processed by Dotpay S.A. (www.dotpay.pl).  Organisers of RSCTC do not have access to any confidential data such as:
    • Participants' Credit Card Number, expiry date, personal data on the card,
    • PIN of the Credit Card.
    The RSCTC organisers are only notified about the  the status and amount of payment as declared in RSCTC 2010 Privacy Policy.

  • Off-line payment with bank transfer. This is an option addressed primarily to participants who are financed by Polish and/or EU institutions, due to specific Polish/EU accounting regulations. In this mode of payment the payer is required to send the full amount of money net of any transaction/bank fees. Please, be aware that while the bank transfers within European Union are by far one of the easiest and definitely the cheapest way to move money around, this may not be the case for  payments from outside EU (Asia, North America).

The RSCTC Organisers accept only payments made in Polish Złoty (PLN). In case of problems with money transfer using the modes listed above, please contact us, and together we will figure out the way to finalise the transaction.

In the case of a cancellation by the participant before June 10, 2010, the conference organisers  refund the conference fee less the handling fee of ten percent (10%). In the case of a cancellation after June 10, 2010, we will not refund conference fees. The refunds will be made in Polish Złoty (PLN). The organisers do not take any responsibility for additional costs that may result  from currency conversions.

All requests for cancellation and refund have to be made in writing and addressed to RSCTC 2010 Organisers. Please, notify in advance the Organisers about the necessity of cancellation using e-mail to: rsctc2010@rsctc2010.org.

Billing

During on-line registration to conference prospective participant will be asked about the billing address and language. This step is necessary to ensure that the invoices issued by RSCTC 2010 contain all the information needed to successfully complete transaction.

In order to simplify paper pushing within institutions located in Poland, the registrant is given the choice of language (English or Polish) used for billing purposes. The registrants who are financed by Polish institutions should consider choosing Polish as billing language. English  is recommended to all other participants as billing language.

After finishing the registration the participant will be presented with a link to a PDF version of an official RSCTC 2010 invoice. Also, in case of successful on-line payment, the participant will receive an e-mail with notification.

Invitation letters, visas

Citizens of some countries require a visa to enter the territory of European Union, and hence Poland. In order to apply for Polish/EU visa an official invitation letter from Conference Organisers is required. Such letter will be issued only to registered RSCTC 2010 participants who successfully completed the payment of registration fees.
